Privacy policy

This explains which data Briefbee processes, why, how long we keep it and what your rights are. In plain language, but complete.

1. Who we are

Briefbee is a sole proprietorship (eenmanszaak) registered in the Netherlands. Contact details:

Briefbee helps businesses and freelancers turn a job description into a quote, which the business checks, adjusts and approves.

2. Our role: controller or processor

We have two different roles, depending on whose data it is.

3. Which data we process

4. What we use it for

Briefbee emails a customer of yours only when you press "Approve and send" on their quote. The email goes out in your name ("your company via Briefbee"), carries the quote as a PDF and a link to a page where the customer can read it and accept or decline. Replies go to you. We send nothing else to your customers.

The basis for your account data is performing the agreement with you. We do not use your data for advertising and we do not sell it.

5. Who we share data with

We use a few parties to run the service. The full list is on the Sub-processors page. In short:

Your accounting software (Moneybird, Informer, e-Boekhouden) is not a sub-processor. It is your own service, and we only send data there on your instruction.

6. Transfers outside the EU

We do not send personal data to China. When the Claude model is used, text goes to Anthropic, which processes data worldwide, including in the United States. The safeguard is the standard contractual clauses in Anthropic's data processing addendum.

We send no more than needed: the job description, briefs, chat messages, the quote wording and the text of documents you upload.

7. How long we keep data

8. Your rights

You have the right to access, correct, export and delete your data, and to restrict or object to processing.

Soon you can export your data and delete your account yourself under Settings (Instellingen). Until then, or for any other question, email hallo@briefbee.nl. We reply within one month.

A customer of yours who wants to use their rights should first turn to you. We help you with that, as described in the data processing agreement.

If you disagree with how we handle your data, you can complain to the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl). You are also welcome to talk to us first.

9. Cookies and local storage

In the app we measure which actions and screens are used (PostHog, see above), without cookies, browser storage or an IP address. On the public website (briefbee.nl) we do count page use anonymously, without cookies and without an IP address. No cookie banner is needed.

10. Security

11. The waitlist

While Briefbee is only open to the first customers, you can join a waitlist on briefbee.nl or in the app.

12. Changes

If we change this policy, we put a new version and date at the top. For an important change, such as a new sub-processor, we tell you beforehand.

13. Anonymous visit statistics

To see which pages and tools help, we count anonymously how this website is used. We do that ourselves, with a small script served from our own site. No advertising or analytics company is involved and no cookies are used.

Making quotes at your own prices?

Describe the job. Briefbee writes the quote in your words and at your prices; you check it and send it.
